As per Section 203 of the Income Tax Act, 1961 it is mandatory for all deductors to deduct TDS. After deducting and depositing the TDS by the due date in the Government account, the Deductor has to issue relevant certificates: Form 16, Form 16A, Form 16B, and Form 16C. These certificates are called TDS certificates.

What is TDS certificate?     

TDS certificates are required to be issued by a person (Deductor) deducting TDS to the person (Deductee) from whose income TDS was deducted.

In other words, a TDS certificate is issued by the Deductor of TDS to the Deductee.

Types of TDS Certificate

Specified TDS forms – Form 16, Form 16A, Form 16B, and Form 16C are the types of TDS certificates.

  • Certificate of TDS on Payment of Salary income: FORM 16
  • TDS Certificate on payment of non-salary income: FORM 16A
  • For TDS on sale of property: FORM 16B
  • For TDS on Rent: FORM 16C

Form 16

Form 16 is a TDS certificate issued by employers to their employees. If any tax has been deducted from the salary paid to the employee, then the employer has to provide the detail of TDS deducted & deposited in Form 16.

Thus, in other words, we can say that Form 16 is the Salary TDS Certificate which contains all the details required to prepare your ITR and file them. Employers are required to issue Form No 16 to their employees every year by the 15th of June of the following year.

Form16 has two parts – Part A and Part B. Part A of Form 16 to be generated and downloaded by employers from the TRACES portal.

Form 16A

Form No. 16A is a TDS Certificate issued in case of TDS on payment of non-salary income. Form 16A certifies the amount of TDS, Nature of Payments, and the TDS Payments deposited with the Income Tax Department.

Form No.16A is issued in case of payment of non-salary income. TDS Professional fees, Rent, Bank Interest payments are accompanied by a Form 16A.

Form 16B

Form 16B is a TDS Certificate that certifies how much amount of TDS is deducted during a property purchase.

The buyer of the property is required to issue Form 16B to the Seller of the property in respect of the TDS deducted and deposited with the government.? TDS is required to be deducted under section 194IB.

Steps to download Form 16A file

  • Login with your UserId and Password
  • In the main menu ,click Downloads->Form 16A
  • You can either download file for all PANs or for selected PANs. For all PANs ,you need to select FY and Quarter. For Selected PANs, you have to select PANs from the given list.
  • Validation Screen will appear. Enter validation details. This will also generate an authentication code.
  • Details of authorized signatory will be picked up from “profile” and displayed
  • Click Submit
  • File will be available in Download->Requested Downloads

Steps to Download TDS Certificate

The following are the steps to Download TDS Certificate from TRACES.

Step 1: Visit the TRACES website or click the link

Step 2: Enter the User IDPassword and TAN of the deductor and CAPTCHA and then click on “Login” button.

Step 3: From the Menu Bar select “Downloads” tab and select Form 16A.

Step 4: Fill all the details – Financial YearQuarter and Form Type and then click “GO” button.

Step 5: Then the details to be printed on Form 16A will be displayed on you screen. Click “Submit”.

Step 6: A page will be displayed where you are required to enter the Authentication Code or Token Number and Challan Details and then click on “Proceed” button.

Step 7: Fill the copy authentication code column and then click on “Proceed with Transaction”.

Step 8: After 1 or 2 days the certificates will be available in the downloads section. There you have select “Requested Downloads” option.

Step 9: Enter the request number and click on “Go” button.

Step 10: Click on “HTTP Downloads” option and under the downloads tab on the top click on the link and then click “Save” button.

Step 11: Right-click and select show in folder. Click open with and Select Windows Explorer.

Step 12: Open the file and enter the password and then click on “Ok” button.

Step 13: Go to “Dashboard” and click on “Requested Downloads”. Enter the verification code and click “Submit” button.

Step 14: Click on TRACES-PDF-Converter and Save the file and open it in windows explorer and proceed with “OK” button.

Step 15: Go to the folder where you have saved and it will be available in a PDF format.

By following the above steps you can “Download TDS certificate from TRACES” website. This will be useful to file the Income Tax Return. Since TRACES website is provided by the Income Tax department while filing the IT return you can link the TDS certificate file directly to claim it as an exemption.

Frequently Asked Questions
Q: While entering Validation details for downloading Form 16A text file, I am getting “invalid details”

Unfortunately, TRACES is not giving exact cause of error. The possible causes can be:

  • You have entered correct PAN/Amount details, but they do not pertain to given CIN
  • You are entering amount without decimal places
  • You have entered incorrect CIN details
  • You have entered correct CIN details, but they do not pertain to the given FY, Quarter and Form
  • You have entered incorrect PAN/Amount details

Can I make any changes in the certificate generated by TDS CPC?

The certificates shall be generated in PDF format, therefore they are not editable. Deductor is thereby not permitted to make changes these certificates. If any error is identified in the certificate, deductor will have to file a correction statement for the same.

How are these forms generated?

These forms shall be generated by TDS CPC on processing the quarterly TDS / TCS statements filed by deductor. Deductor will have to raise a request for the same on TRACES. Deductor shall have the option to digitally sign the certificates.

How can I request for Form 16 / 16A?
Login to TRACES as deductor and submit download request for Form 16 / 16A under ‘Downloads’ tab. File will be available under ‘Requested Downloads’ in ‘Downloads’ tab.
Text file will be provided containing details of all requested PANs. User must convert this text file to PDF using ‘TRACES PDF Generation Utility’. This utility will convert the text file into individual PDFs for each PAN. Deductor can also opt to digitally sign the PDFs while converting.

When will Form 16A file be available?

    Form 16A text file will be available only after you have submitted regular statement in Form 26Q/27Q and the same has been processed at TDS CPC

    Form 16A files are available from FY 2007-08 onwards
